You know you need help, but maybe you don’t know exactly what you need help with. This is one of the most common things I encounter in my business. We entrepreneurs are doers with big dreams but sometimes we get in our own way. When we’re overwhelmed it seems like no one can help us because we have to be in control of everything in order for it to be done right.
This is so not true.
You know you can’t do everything, no one can. There are only so many hours in a day and you need to take breaks from your business in order to stay sane.
Deciding to delegate work to a virtual assistant isn’t always an easy decision. You will have to spend a little time getting organized and you may have to teach your VA how to do some things, but let me assure you that my clients have expressed sincere relief at being able to hand over some of their workload and trust that it’s done right.
So, let me show you how to decide what to delegate to a VA.
Step 1: Daily Grind List
In every business, there’s a certain set of things that has to be done in order to stay afloat, whether you like it or not
Make a list of all the things that have to get done in your business every day, week and month. Really get into the nitty gritty – the emails you have to send, the Facebook ads you have to run, the data you have to track, and so on.
As you write down your list of daily/weekly/monthly tasks, try to break them down into sub-tasks. For example, if you’re regularly creating content, your list of sub-tasks might look like this…
– Brainstorm ideas
– Write copy
– Record video
– Create graphics
– Write social posts to promote
– Schedule posts
The more detail, the better.
Step 2: Colour Code
Now that you’ve got this list created, grab 2 different coloured highlighters.
With the first colour, highlight all of the things that absolutely ONLY YOU can do. As you go through the list, ask yourself, “Am I really the only one who can do this?” and if the answer is definitely yes, then highlight away. For example, if you’re a business coach, then probably only you can coach your clients to success.
Then, in a second colour, highlight the things in your business that are in your “zone of genius”. These are the things that come easily to you, that you’re really good at, and that you usually enjoy doing.
Step 3: Dream Biz Brainstorm
Next, take a few minutes and write down all of the things you want to achieve in your business.
Maybe you want to be more active on social media, or maybe you want to create that course you’ve been thinking about for 2 years, or maybe you just want to know how much your followers increase each month. Go into detail, right down to the frequency you want to be posting on each social media platform, the things you never thought you’d have time for, and all of the blog post ideas you’ve got.
Step 4: Imagine This…
Take a look back at your list from Step 3 and imagine all of the things from that list that you could achieve if you were only focusing on the things you highlighted in Step 2.
How would you feel?
What would your business look like?
Would you have more fun?
Could you accomplish more?
Chances are the things left un-highlighted on your Daily Grind List are the things that you put off doing until the last minute. They don’t come naturally to you, you may not have time for them and you don’t feel very confident when you’re doing them.
Through this process, you may have discovered that your passion for creating content includes an interest in researching and writing blog posts and recording videos, but you hate the part that comes next – the promotion of your blog posts, the scheduling of social media posts and the creation of graphics to pretty-up that post.
Those are things you should delegate to a virtual assistant.
By delegating the things that don’t come naturally to you, you’re using your time more wisely and are, ultimately, saving money. By doing this, your virtual assistant becomes an extremely valuable team member because, if chosen right, they can compliment your skills and add to your list of daily/weekly/monthly accomplishments, thus growing your business more quickly.
